How to request deletion of your Protrix account and the data behind it, and what we are required to keep.

Protrix accounts are used by the guards, dispatchers and managers of our business clients to run and record transport missions. This page explains how to request deletion of your account and personal data, exactly what we delete, what we are legally required to retain, and how long the process takes.
Email our support team and we will delete your Protrix account and the personal data behind it. Every request is verified before anything is deleted, so tell us your name, the organisation you work for and the email address of the account.
Email a deletion requestIf you can still sign in, you can file the same request from the app: open Account and tap Delete account. On the web platform it is under Settings, then Account and privacy.
If you can still sign in, open the guard app, go to Account, then tap Delete account. That opens a prefilled support request. Nothing is deleted at that moment. Our team verifies the request and then carries out the deletion described below.
On the web platform, the same request can be filed from Settings, then Account and privacy. The same page also lets you ask for a copy of the data we hold about you.
If you no longer have access to the app, email support@protrix.global with your name, your employer or organisation, and a description of your request. We will verify your identity before making any changes.
Protrix accounts are not self-registered. Your employer or the organisation you work for provisions your account so you can use the guard mobile app and, depending on your role, the platform. There is no public sign-up, so account and data deletion is handled as a verified request rather than an automatic self-service action.
Once we have verified your request, the following are deleted outright and cannot be recovered:
Your profile record cannot simply be deleted, because mission, message, event, expense and invoice records refer to it and would otherwise point at nothing. So we empty it out instead, in a single step at the moment of deletion:
Some data documents a transport mission that has already been carried out, and our business clients are legally required to keep it for commercial and liability reasons. We do not delete it. It stays attached to the emptied profile record described above, so it no longer identifies you by name.
This is the one distinction worth being explicit about, because it is easy to read "we delete your messages" and expect more than we do.
A one-to-one conversation is private correspondence. The messages you wrote in one are yours, they document nothing operational, and we delete them outright, content included. Messages the other person wrote are theirs, and stay with their account.
A mission conversation is part of the record of a job that was carried out. It may explain a delay, a diversion, a refused load or an incident, and our clients are obliged to be able to produce that record. Those messages stay. What changes is that the author becomes a deleted user rather than a named person.
We verify every deletion request, whether it arrives through the app or by email, to confirm that it genuinely comes from the account holder or an authorised contact at their organisation. We aim to acknowledge requests within a few working days, and to complete the deletion within one month of verifying the request, which is the period the GDPR allows.
Deletion is irreversible. Once it has run, the account cannot be restored and the deleted data cannot be recovered.
The Protrix guard app and platform are operated by Sesto Group B.V., the developer listed for Protrix on Google Play.
